Specialist of administrative work/Support Administrator
1.Provides administrative support to Client’s representatives – SEIC personnel:
•Journey Management for Client’s personnel (trips from/to required points; Lunch/Train boxes for JM trips)
•Adherence to Client’s HSES standards related to JM and PM
•Client’s Vehicles & Drivers Allocation Management (Vehicle Check Lists and Auditing; Fuel Kilometers Tracking Records; Drivers overtime tracking; Drivers Performance Monitoring etc)
•Meet & Greet for SEIC OPF new arrivals and visitors
•Fully SEIC Personal Movements - Ensure that all OPF personnel have timely arranged and safe trip when and where required
•Assists in organizing special team events and a monthly team building function for Client’s personnel
•Prepares TOOL BOX talk for Client’s drivers, Drivers HSE training & compliance
•Client’s Cargoes receiving tracking. Focal point for any Cargoes delivery to OPF Operations Team
•Responsible for making ID Badges and Access pass cards and keeping scan copies of passports and visas of catering contracting staff
•Coordinates and control stationary supplies stock in Client’s offices
•Assists the Client’s representative – SEIC OPF Facilities Services Supervisor with performing regular audits of catering/housekeeping services to ensure health standards are being met.
•Coordinate Visa Obtaining, Extension Process – liaise with Visa Dept
•Responsible for local staff registration
•Act as a focal point for coordination the process of internal correspondence with SEIC Yuzhno offices
•Other tasks as delegated by the Client’s representative - SEIC OPF Facilities Services Supervisor for the smooth and efficient running of the OPF team work.
2.Provides administrative support for the personnel of Subdivision OPF Lunskoye, SakhalinNefteGasServis, LLC
•Participates in preparation of rotation schedule
•Maintains weekly and monthly timesheets, and coordinates his/her work with other SNGS personnel.
•Coordinates train, hotel bookings
•Maintains main staff data of employees (address, e-mail, phones, etc)
•Responsible for keeping scanned copies of passports, visas, BG permits and work permits
•Support with Visa and BG permits process, Responsible for visa expiry date tracking and staff local registration at OPF Lunskoye
•Meet & Greet of employees
•Maintains HSE Statistics (visitors Manhours, Emergency Contact Data Forms, etc)
•Prepare TOOL BOX talk for drivers, Drivers HSE training & compliance
•Act as a focal point for coordination the process of internal correspondence with Yuzhno office
•Provide support to SakhalinNefteGasServis, LLC Site Manager within her employment function, and take over on a caretaker basis if requested during his potential absence
•Carries out office Administrative, receives incoming correspondence, files it as per set procedure and forwards for consideration to SakhalinNefteGasServis, LLC Site Manager or specific persons to use in the process of their work, or preparation.
•Ensures provision of employees at Separate Subdivision of LLC SakhalinNefteGasServis with necessary stationeries, cooperates with Procurement Department, and fills out requests for purchasing goods, required for work performance.
•Prepares and compiles daily, weekly and monthly reports related to the work of Separate Subdivision of LLC SakhalinNefteGasServis.
•Participates in General Meetings of employees of Separate Subdivision, LLC SakhalinNefteGasServis.
